A Course is the primary way to deliver learning content. When courses are properly organized with lessons that link together, users learn in the correct order and better retain concepts.
Global course configurations are available in Learning Settings.
When learners complete a course, they are shown a “course completed” popup that directs them back to the main Course page.
This article outlines the following concepts:
Manage Existing Courses
Go to Learning > Click Courses to access the Courses List View.
Admins may Search for a course (by name or ID) and Quick Filter existing courses by Course Category or Creator.
Click Advanced Search to filter courses by fields such as Lessons, Created On date, Modified On dates, etc.
The courses list view contains the following fields:
- Published status
- Course name
- Category - the primary category of the course
- # of Lessons
- Course Events
- Price
- Created - date the Course was created
- Modified - date the Course was last modified
- Created By - the admin who originally created the Course
- Course ID
Course Reordering
To edit the order that Courses appear to Learners, click the ordering ⋮ icon and drag the Course to the desired position. Admin can also type the position number manually. Click the checkmark ✅ to save the updated course ordering.
Duplicate a Course
To duplicate a course, click the checkmark next to the course and click Duplicate.
Duplicated courses are marked as a copy. Duplicated courses retain the settings (including Custom Fields) of the original but do not include the Lessons or Course Events of the original course.
Create a New Course
Go to Learning > Click Courses > Click New
Click History to view all course edit actions. Search for previously created courses by course name or course ID.
Sub-admins roles with access to an area also have access to its corresponding Admin Actions History.
Overview tab
Give this Course a Name. Select a Primary Category and any Sub-categories.
Add this Course to any necessary Learning Paths (Private Access Feature).
All of the corresponding Learning Paths are shown. Click the ❌ icon to remove the course from a Learning Path.
Set if this Course is Available to purchase and set a Base Price. Leave the Base Price field blank if the course is free and must still be tracked as a “purchase”.
Design tab
In the Design tab, configure the various Learner Portal layout options for this Course; including thumbnail image, cover image, and description fields, etc.
Content tab
In the Content tab, configure which Lessons and/or other resources are included in the Course.
Click Enable external link to send Learners to an external website. When this is selected, no library content or lessons are included in the course.
Click User library content to include pre-created BizLibrary, Touvti Stream micro-course, or imported eLearning Packages in this Course. When this is selected, no lessons are included.
If the first two toggles are off, Admins may select a Lesson Gating option for this Course and the list of lessons shows underneath.
Upload any necessary course files that users can download from the course page.
Create a new lesson by clicking Create new lesson.
In the slide-out window, give the lesson a Title, assign a Quiz, select an Instructor, and mark if the lesson is published.
Add Lesson Activities by clicking the green “+” button.
Click Save to create the lesson and add it to the Course.
Click the lesson in the list to open the lesson editor in a new tab and continue editing the lesson.
Click Add existing Lesson, search for a lesson (by ID or name), and click Add to add a lesson to this course.
Adding an existing lesson or creating a new lesson for a course makes the Refresh Course Progress function available.
In the lessons table, access the following actions in the far-right column.
- 🖋️ Edit lessons in a slide-out window
- Add a Quiz
- Add an Instructor
- Create/Add a Lesson Activity
- 👁️🗨️ Open a learner portal Preview of the lesson in a new tab
- ❌ Remove this lesson from the course
Admins may edit the lesson order shown to learners by dragging a Lesson to the desired position or typing the order number. Admins must click Save to lock in any edits to the lesson order.
When two lessons are given the same position number, the lesson originally designated with that number defaults to earlier on the list.
Final Course Surveys are not shown in this Lesson list of the Content tab but are shown last in the lesson list in the Learner Portal.
Time Schedule tab
In the Time Schedule tab, configure the due and open dates for this course.
Course Due Date
When Due Date is enabled, Course Auto Notifications are triggered.
Set if the due date is a Specific Date or after a unit of Time Passed since the user started the course.
Enable a Hard Due Date to restrict access to all content and course progress after the due date.
Course Open Date
Enable an Open access date when learners can begin to view, register, and progress in the Course.
Enable the course to be visible in the course list before the open access date.
Course Close Date
Enable Restrict access by date to lock the course after the selected date.
Enable the course to be visible in the Course list after the close date.
Permissions tab
In the Permissions tab, set which Users are able to view and register for this Course.
This course may also be used to grant access to a new User Group when the user purchases or registers for it.
A course can be configured to limit visibility to specific Brands.
If this Course requires a minimum number of students, enable this option and provide the minimum number. Provide a text that shows before the minimum number has been reached.
Learner Progress tab
In the Learner Progress tab, view a dashboard with data on the learners who are working on the Course.
Click the dropdown button to view a user’s completion data for each lesson.
Select multiple users to bulk archive course progress. Click Archive Selected or Archive All (all entries on the list).
Admins can also refresh course progress when new lessons have been added to a course. This provides users with a more accurate completion percentage in their dashboards.
Advanced Settings tab
In the Advanced Settings tab, add Course Events to integrate event material in this Course.
Include a Final Course Survey to collect feedback directly for this Course.
Configure other customizations such as notifying an admin at course completion and awarding points for this course.
Translation overrides tab
In the Translation overrides tab, select a Language for which to customize overrides.
Enable overrides for this language and customize the different overrides in the various fields of this page.
If this language should utilize a specific eLearning Package, enable this override and select the package.
Click Save.
