Tovuti Administrators are able to provide credits to purchase courses or events by using a Purchase Order (PO). Admins assign a PO currency, which can be converted to Tovuti Tokens.
POs are assigned via User Objects. When assigned, learners may use a PO by entering the PO Number, which is validated by the system.

Admin Experience
Create a Purchase Order
Go to E-commerce > click Purchase Orders
Quick filter existing POs by Currency or Tokens.
Click New to create a Purchase Order.
Give this a Title, which is a primary method to search for a specific PO.
The PO Number is a randomly generated alpha-numeric code. Admins can overwrite the system-generated code, provided it’s unique within the account. This is the code learners input to use a PO.
Purchase Orders must be assigned to a single User Object.
Select a PO Currency.
Type the Initial Amount for this Purchase Order.
Note that the Initial Amount is based on the PO Currency. The PO Currency may be different than the Base Currency.
After a PO is saved, the Currency and Initial Amount selected can’t be changed.
The Purchase Order may also be enabled to use Tokens.
The Initial Amount is calculated (after saving the PO) based on the exchange rate between the Token’s Value and the PO Currency selected.
If applicable, assign an Expiration Date. When a Purchase Order reaches its expiration, the PO Number isn’t usable.
Give this Purchase Order a Description, which is an internal-only field.
Any Custom Fields assigned to Purchase Orders are shown.
Mark if the Purchase Order is Published. When set to “No,” the PO Number is unusable.
Click Save.
Add Balance to an Existing PO
Purchase Orders can be “refilled” with additional funds. This allows for extended use without creating a new Purchase Order.
In the PO editor, click Add to balance.
Type the Amount and provide optional Details to save in the Transaction History.
Click Save changes to add the new funds to the remaining balance.
Process a PO Refund
Administrators may process a refund for a Purchase Order in the Timeline tab of the User Manager.
Once a refund for a Purchase Order is processed, the Remaining Amount in the Purchase Order is restored to the previous value before the purchase.
Custom Fields
Custom Fields may be created for Purchase Orders, thereby creating custom data fields tied to a PO.
Purchasing a Course in the User Manager
In the Courses tab of the User Manager, an Admin may use the funds of a Purchase Order to process the purchase of a Course for the User.
Admin Actions History
In the Purchase Order list view, click History to access the history of Admin Actions. The history is searchable and filterable. Any time a Purchase Order is created or edited the action is tracked here.
Learner Experience
When purchasing a Course or an Event, users with access are given the option to pay using a Purchase Order. Users input the PO Number and click Validate.

Successful PO purchases debit the purchase amount in the PO’s currency, irrespective of the currency shown on the learner portal.
