Users are imported manually from the User Manager or in bulk using the User Importer. Bulk imports are helpful when migrating from another system or onboarding new groups of users. The User Importer may also be used to bulk update existing users.
This article outlines the following concepts:
Create a User Importer Template
Go to People > Click User Importer > Click New
In the Details tab, give this Import Template a Name and Description. Configure the settings for username and password generation.
System User Fields
Designate which user fields are included in this user importer template. System User Fields include:
- User ID
- First name (required)
- Last name (required)
- Username (required)
- Password
- Status (select“Enabled” or “Disabled”)
Custom Profile Fields
Custom Profile Fields can also be included in a user importer template.
User Groups
Select if the import template includes User Group. Each selected user group appears as a column in the template.
The Prevent removing user groups toggle is only applicable when using the User Importer to update new users.
Course Data
Click the toggle for Modify course status to include course progress data in the template. For each of the following fields, include a date in the corresponding column of the CSV.
- Modify course start date - denotes that the user has begun a course
- Modify course due date - denotes a custom due date for the user
- Modify course completion date - denotes that the user has finished the course (giving them a 100% completion percentage.
Select the courses included in the template. Course dates can only be modified for the selected courses in this import.
Award Data
Selected if this template includes awards. Select the awards that can be granted in this template.
In the CSV file, Admins grant the award(s) to users by adding a date to the corresponding column (must be mm/dd/yyyy format).
New User Welcome Email
In the Email Settings tab, create an email template to be sent to all newly imported users.
Click Save and Close.
From the list view, click Download the CSV Template.
Using the Import Template
First Name, Last Name, Username, and Email are required to create a new User account. Additional fields and User Groups selected in the Import editor are included as columns in the template file
Yellow Note: Editing or removing any of the pre-populated column headers in the CSV template causes the upload to fail. If additional columns are needed, return to the User Importer, add the additional fields and groups, and then download a new CSV template.
User Groups, Course Completions, and Awards are selected in the document by placing an "X" or "Y" in the corresponding column. Leaving a column blank excludes the User from the Group, Course, or Award.
The Registered User Group is required for the user to be imported into the system and successfully log in.
Save the document.
Import the Template
Click Import User CSV > click Select a file. Choose the import CSV file.
Once the CSV is uploaded, the users included in this file are imported into the system with the User Groups, Course Completions, and/or Awards, as included in the import file. The configured welcome email is also sent, per the instructions above.
Notification History
After an import has been completed, a history of emails triggered by the import is shown in the Notification History tab.
