Admins can bulk update existing users to save time and efficiently manage user profiles. There are two different areas of the Admin Portal to bulk update existing users: the User Manager and User Importer.
User Manager
Admins can update the User Groups of multiple users at a time using bulk updates from the User Manager.
From the User Manager list view, select the users and click Batch.
Select if the users are Added to a Group, Deleted from a Group, or *Set to a Group, and select the corresponding Group.
*Set to a Group removes all the user’s current groups and adds them to the selected group.
Set if Password Reset is Required the next time the user logs in.
Click Process.
User Importer
The User Importer allows Admins to bulk-add user profile information. This tool saves time for Admin Teams with a massive amount of users. The User Importer can also be used to bulk-change user profile information.
Create a New Import Template
To update multiple users at a time, Admins must first create a template CSV file that includes all of the user data to be updated.
Go to People > click User Importer > click New
Select the fields to update, including Custom Profile Fields.
The “User ID” field must be selected to update existing users - if that field isn’t selected, then the CSV template is used to create new users.
Only include User Groups, Course Completions, and Awards if any of that data will be updated.
Click Save.
Download the template for this Import from the list view.
Edit the CSV Import
Editing or removing any of the pre-populated column headers in the CSV template causes a failed upload.
User IDs are found in the User Manager. Use the Export function to easily copy and paste a long list of IDs.
Once the User IDs are included in the document, make any necessary changes to the fields of the CSV file.
If User Groups, Course Completions, or Awards are selected in the Import editor, they are included as columns in the spreadsheet. Make sure to mark each column with all relevant data.
When the CSV file is uploaded, this overwrites the User information in Tovuti.
If a User is assigned a User Group, Course Completion, or Award, and this column is blank, then this item is removed from the User’s profile.
Course Completions and Awards are marked in the spreadsheet with dates (MM/DD/YYYY).
A user’s status (enabled or disabled) can NOT be updated using the import template.
Save the CSV file.
Upload the Import File
Click Import User CSV and select the correct CSV file to bulk update those Users.
In the pop-up, select the file and click Start Import
