Private Access Features are functional new features that still require some development.
Recurring Awards enable Admins to build a system where users are automatically required to retake courses and “re-earn” Awards. Recurring Awards are a common solution to annual compliance training and other ongoing certification programs.
Recurring Awards create a streamlined user experience that includes automated updates for new certifications, course due dates, and email notifications. After the careful initial Admin configuration of a course, award, and notification, there is no more core configuration work needed to manage an ongoing compliance program.
This article outlines the following concepts:
- Configure Recurring Courses
- Attach Courses to an Award
- Enable the Award to be Earned Multiple Times
- Manually Edit Course Dates for a Specific User
- Course Due Notification
Configure Recurring Courses
Admins can configure Courses to have recurring due dates, requiring users to retake courses on a prescribed schedule.
Go to Learning > click Courses > click New or select an existing course
Recurring due dates
Go to the Time schedule tab, enable a Due Date, and set the Due date type to Exact date.
Recurring due dates are not available for the “Time passed” due date type.
Enable Due date is recurring and set the Extend due date length. In the example below, the original due date is set for December 31st. When that date arrives, the due date will automatically update to December 31st of the following year.
Auto-Reset Course Progress
Once the course due date is set to recurring, Admins can enable the course progress to also automatically reset. This requires users to review and participate in all associated course content again.
Course Progress that is archived manually or automatically through the feature described below can be included in a report through the Report Builder.
In the Time schedule tab of the Course editor, enable Auto course progress reset. Set the Reset date type to “Time passed after completion” or “Time passed after a due date”.
When Time passed after completion is selected, configure a Passed time length. In the example below, the course progress will automatically reset 1 year after the user completes the course.
When Time passed after due date is selected, then configure the Reset progress type. Options include:
- Only uncompleted progress
- Only completed progress
- Both uncompleted and completed progress
Set a Passed time length.
In the example below, only completed course progress will automatically reset 11 months after the configured due date.
Click Save.
Attach Courses to an Award
Once Courses have been configured to have recurring due dates and auto-reset progress, they can be made requirements for an Award through the Award editor.
Go to Learning > click Awards > click New or select an existing award
In the Requirements tab, select “Conditional” for Requirement type. Click the green “+” button to add Requirements to this Award. Select “Course” for the Requirement type and select the Required course(s) to earn this award.
Click Save.
Enable the Award to be Earned Multiple Times
In the Basic info tab of the Award editor, select any Award type.
When “Dynamic” is selected for the Expiration type, set an Expiration length. Enable Can earn multiple times.
The Re-earn Award period field appears. This is the window of time before an award is set to expire that a learner can earn the award again.
The Re-earn Award period coincides with the Course auto-archive Time passed length configured in the Course editor.
For example, if an Award is set to expire 1 year after it is earned, an Admin may want the required courses to auto-archive 11 months after the due date. When accompanied by a 30-day Re-earn award period, the user’s course progress is archived 1 month ahead of the expiration date and they have 1 month to re-earn the award before it expires.
With a “Fixed” expiration date, the Can earn multiple times configuration includes Re-earn award period and an additional field: Extend expiration length.
The Extend expiration length adds the set time period to the original expiration date. This is most often used for compliance training and recurring certifications that occur on a specific basis.

Manually Edit Course Dates for a Specific User
Admins may need to apply one-off due date exceptions for specific users. This is achieved through the following steps.
Go to People > click User Manager > select a user
Go to the Courses tab, scroll to the Course Progress section, and click Edit Progress for the course with a custom due date.
Set the custom Due Date and click Save.
Recurring due date settings configured in the Time schedule tab of the Course editor (are/are not) applied to this user’s custom due date.
Course Due Notifications
Courses with recurring due dates, can still be configured to send Course Due auto notification emails. In order for these notifications to be sent properly, the Interval to Send field must be configured to be “Before” the due date.
Course Due notifications set to an “after” interval are invalid for a course with a recurring due date. This is because the due date would never be in the past and therefore the notification would not be triggered to be sent.
