Notifying Users when updates to their curriculum happen is critical to creating the best user experience possible. When assigning a course via a Course Assignment, a Notification can be triggered to make sure they are aware right away.
This article outlines the following concepts:
Create the Notification
Go to Communications > click Notifications > click New
In the Alert Type field, select Course Assigned.
Give this Notification a title and description.
If this notification applies to all courses, “All Items” for Selection Type. Click “Selected Items Only” to then select specific courses in the Course Selection field.
Lower on the page, give this Notification a Subject Title for when it arrives to the users, and craft the Course Assigned Message in the Text Editor.
When configuring Subject Titles for Notifications, ensure that if an organization is referenced, it matches the domain URL. Subject Lines that do not match the brand URL have the potential to be flagged by Gmail and other email providers as fraudulent or hazardous.
For example, if the domain URL is Moyo.LMS but the subject line says “Tovuti Staff,” these mismatching “organizations” could be flagged by the mail provider and show a warning label.
Turn on Notifications
Next, go to Learning > click Course Assignments > select the Course associated with this new Notification
For the Send Notifications field toggle "Yes."
When clicking Save, Admins are shown a confirmation notice when the assignment is saved. Admins can choose to Send a notification so that users can see all the updates or, save the assignment without sending notifications.
Use Cases
The following are possible general use cases for utilizing this feature:
Ensuring learners are immediately aware of new course assignments
An administrator wants to notify users the moment a new course is assigned to them so there’s no confusion or delay in getting started.
This feature is useful because:
-
“Course Assigned” alerts are triggered as soon as an assignment is saved
-
Admins can craft customized subject lines and messages for clarity
-
Notifications can apply globally or be targeted to specific courses
Example Use Case
A professional development coordinator assigns the “Q3 Ethics Refresher” to all staff. They enable the Send Notifications toggle and configure a subject line that reads, “New Course from NorthPoint Academy.” Learners receive the alert instantly and begin training the same day.
Preventing user confusion when curriculum updates occur
An L&D team needs a reliable way to inform users when changes are made to their required courses — such as new content, deadlines, or enrollment changes.
This feature is useful because:
-
Notifications are tied directly to course assignments, reducing email clutter
-
Admins have control over whether the notification is sent at save
-
Clear messaging ensures users know what’s expected of them
Example Use Case
A core compliance module is updated mid-quarter. The Admin reassigns the course to users and enables the notification. The subject line clearly references “AcmeHealth LMS,” matching the brand domain, to avoid spam flags. Learners receive an alert explaining the update and the new completion deadline.
Maintaining domain-aligned messaging to avoid deliverability issues
A systems admin wants to ensure notifications aren’t blocked or flagged by email providers when sent from the LMS.
This feature is useful because:
-
Subject lines can be customized to reflect the correct domain or brand
-
Mismatched names (e.g., “Tovuti” vs. a custom domain) can be avoided
-
Helps improve deliverability and avoid false phishing flags
Example Use Case
An LMS is branded as “Moyo LMS,” but the Admin initially titles a notification email with “Tovuti Admin Team.” Gmail flags the message as suspicious. After correcting the subject line to “Training Notice from Moyo LMS,” future notifications are delivered cleanly.
