Virtual Classrooms in Tovuti enable users to meet and communicate remotely. This allows Admins to expand Events and engage students across multiple locations simultaneously.
Admins can also tie an Instructor to a Virtual Classroom-enabled Event, setting up vILT (Virtual Instructor-Led Training).

Create a Virtual Classroom
Go to Learning > Click Virtual Classroom > Click New
Details tab
In the Details tab, give this Classroom a Title.
For Meeting Type, select the platform that hosts the Virtual Classroom. Available types include:
- Tovuti Meeting
- Zoom Meeting
- Webex Meeting
- GoTo Meeting
- Google Hangout Meeting
- Join.Me Meeting
Select the associated Domain. The default Domain is the brand originally created with the LMS. Associating a domain impacts event reminder notifications.
Advanced Settings tab
The Advances settings tab only appears when Tovuti Meeting is selected.
Advanced Settings will populate with configurations depending on the Meeting Type chosen in the Details tab. Toggle "Use Custom" for the Settings field to customize how users will interact with this classroom.
If Tovuti Meeting is selected as the meeting type in the previous tab, settings for this meeting type will appear. Tovuti Meeting is a great option for small class sizes and no integration or API work is required.
Attendees Access tab
In the Attendee Access tab, set which of your students will have access to this virtual classroom. You can grant access to individual Users, User Groups, or by Access Level.
Upon completing the session of this virtual classroom, attendance records appear in the Attendance tab and a recording shows in the Recordings tab.
Blue Note: Attendance duration is tracked on a four-minute cycle. This can create a slight margin of error that should be considered when viewing attendance reports.
Click Save and Close.
Virtual Classroom Guest Link
From the list view of Virtual Classrooms, the newly created classroom is shown with a sharable Guest Link. Click Copy to provide access to the classroom for anyone who has not registered beforehand.
Those who attend with this Guest Link (including the host) will be counted anonymous and attendance will not be associated with a logged-in user.
Zoom Virtual Classroom Integration
Tovuti offers native integration with Zoom. To configure your Virtual Classroom with Zoom, complete the following steps:
For the Meeting Type field, select "Zoom Meeting."
- If "Copy and Paste Zoom Link" is toggled, provide the link from the organization's Zoom account or a personal link
- For "Generate Meeting Through API" to be toggled, you'll need to configure your Brand with a Zoom Integration, details of which are found here

Facilitating virtual instructor-led training (vILT) across locations
A company with employees in multiple regions hosts monthly virtual workshops where a live instructor leads training sessions in real time using Tovuti Meetings.
This feature is useful because:

Admins can assign instructors to events and associate them with specific Virtual Classrooms.

Example Use Case
A leadership development coordinator schedules a “Team Communication Essentials” session using Tovuti Meetings. The instructor is tied to the event, and users from three different time zones attend without travel. After the session, attendance is logged, and the recording is available for those who missed it.
Offering guest access to one-time or external sessions
A nonprofit organization hosting an open-access webinar uses the Guest Link feature to invite community members who are not registered LMS users.
This feature is useful because:

A shareable link makes it easy to invite external participants without creating new user accounts.

Example Use Case
The organization creates a Virtual Classroom for a “Volunteer Orientation Preview” and shares the Guest Link via email and social media. Community members can join the session without needing a Tovuti login, while staff internally track formal attendance from registered users.
Connecting Zoom to streamline enterprise-level webinar delivery
A sales enablement team uses Zoom for all virtual events and wants to integrate it directly into Tovuti for scheduling and attendance tracking.
This feature is useful because:

Native Zoom integration eliminates toggling between systems.

Events are auto-scheduled and synced with user groups via Tovuti’s Event and Virtual Classroom tools.

Zoom links are delivered through automated registration emails, complete with domain branding.
Example Use Case
A trainer selects “Zoom Meeting” as the meeting type and uses API-based scheduling to create the link within Tovuti. They map the Virtual Classroom to the “Sales Reps” group. When reps register, they get branded reminder emails, and Zoom handles the delivery. Attendance is tracked automatically through Tovuti’s Reports tab.
