Tovuti provides different notification options when creating a Course Assignment. Notifications help Users stay up to date on their assignments and when they’re due.
This article outlines the following concepts:
Create Assignment Notifications
Go to Communications > click Auto Notifications > click New
In the Details tab, select one of the following Course Assignment Notifications in the Alert Type field.
- Course Assigned
- Course Recommended
- Assignment Due
The Selection Type field determines if this Notification applies to All Items (Courses) or Selected Items (Courses) Only.
Give the notification an Email Subject and provide a Course Assigned Message by clicking in the WYSIWYG editor. A default message is provided that can be edited or changed entirely.
In the Course Assignment editor, ensure to select Yes in the Send Notifications field to enable Notifications.
When clicking Save, Admins are shown a confirmation notice when the assignment is saved. Admins can choose to Send a notification so that users can see all the updates or, save the assignment without sending notifications.

Course Assigned Notification
When the Alert Type is set to Course Assigned, designating Courses as Assigned triggers the Notification.
If this Assignment includes specific dates, it is recommended to include these dates using the Dynamic Fields in the Notification editor.
Course Recommended Notification
When the Alert Type is set to Course Recommended, designating Courses as Recommended triggers the Notification
It is recommended to include information on why this Course is being recommended in the Message Body. For example, the recommended course may relate to a previously-completed course.
Assignment Due Notifications
When the Alert Type is set to Assignment Due, Admins configure the Interval to Send field, which is relative to the Assignment Due Date.
Recommended Courses aren’t applicable to this notification, as they have no Due Date.
Multiple notifications must be created to send multiple reminder notifications about due Assignments, each with its own Interval to Send configured.

The following are possible general use cases for utilizing this feature:
Keeping learners informed about new required training
A training manager wants to ensure that learners are immediately notified when they are assigned a new course, especially when compliance deadlines are involved.
This feature is useful because:

Dynamic fields allow dates and course names to be included automatically

Admins can choose whether or not to trigger notifications when saving assignments
Example Use Case
An HR team assigns the “Workplace Harassment Prevention” course to all new employees. A “Course Assigned” notification is triggered upon saving the assignment, including the due date and course link. Learners receive the message instantly and begin engaging with the material.
Recommending optional development content based on learner interests
An L&D leader wants to suggest supplemental training to users based on their past completions or role-based development plans, without making it mandatory.
This feature is useful because:

“Course Recommended” notifications support soft nudges toward optional learning

Admins can customize the message body to explain why a course is relevant

Example Use Case
After completing a “Basics of Excel” course, learners are sent a “Course Recommended” notification for “Data Visualization in Excel.” The message highlights how this course builds on their previous learning and links directly to the recommended course page.
Driving timely completion with automated due date reminders
A program coordinator needs to send multiple reminders for courses that have deadlines. They want to automate this communication to reduce manual follow-up.
This feature is useful because:

“Assignment Due” alerts can be configured at different time intervals before a due date

Multiple reminders can be set by creating separate notifications for each interval

Ensures learners are aware of upcoming deadlines without spamming
Example Use Case
A cybersecurity training course is due in 30 days. The Admin sets up three “Assignment Due” notifications: one 14 days before the deadline, one 7 days before, and one on the day of. Learners receive automated, well-timed nudges that help boost completion rates.
