Admins can view a comprehensive history of sent Email Notifications. This allows Admins to view who has received emails and if any users may need additional communication.
This article outlines the following concepts:
View Email Notification
Go to Communications > click Email Notifications > select a previously created Email Notification
Email Notifications History tab
Click the Email Notification History tab.
Data Points
The following data points are filterable and searchable:
- Recipient ID
- Recipient Name
- Recipient Email
- Date Sent
- Time Sent
Click Export to PDF or Export to Excel to download the available data.
The “Time Sent” field reports when an email is successfully processed and added to the queue, rather than when an email is received by the Recipient.
Use Cases
The following are possible general use cases for utilizing this feature:
Auditing communication delivery for compliance or confirmation
An administrator wants to ensure that required notifications — such as course assignments or event reminders — were sent to the correct learners, especially in regulated environments.
This feature is useful because:
-
The Email Notification History tab shows who received each message and when
-
Admins can confirm delivery attempts for compliance audits or reporting
-
Filterable and exportable records provide traceability
Example Use Case
A compliance officer verifies that the “Annual Policy Acknowledgement” reminder was sent to all 84 employees by reviewing the Email Notification History. They export the results to Excel and include the file in an internal compliance audit report.
Identifying users who may have missed critical messages
An L&D team notices low attendance for a live training session. They want to check whether reminder emails were successfully queued for all invited users or if follow-up outreach is needed.
This feature is useful because:
-
Email history displays recipients by name, ID, and email
-
Admins can search or filter to spot gaps or failures
-
Reduces manual guesswork when troubleshooting communication issues
Example Use Case
A live webinar had 45 registrants but only 20 attended. The Admin opens the notification tied to the event, checks the Email Notification History tab, and finds that 10 users were never queued due to a User Group change. A manual reminder is sent to those users.
Exporting communication logs for performance tracking or documentation
A training coordinator wants to track how many automated notifications went out for each course launch and provide that data during monthly reporting meetings.
This feature is useful because:
-
Notification logs can be exported to PDF or Excel for easy sharing
-
Date and time stamps provide clear visibility into system activity
-
Useful for program reviews, vendor SLAs, or internal documentation
Example Use Case
Each time a course is published, a templated welcome email is sent to learners. At month’s end, the Admin exports the Email Notification History for that course and includes the PDF in a report summarizing outreach metrics and learner engagement touchpoints.
