Tovuti has been built to make online learning simple and accessible. BambooHR is a world-class application wherein payroll, employee information, onboarding courses, and other human resource functions are hosted and managed.
This article outlines the following concepts:
Go to Configuration > Click Integrations > click Setup Integration to connect Tovuti and BambooHR.
Setup tab
In the Setup tab, follow the steps to Connect to BambooHR.
Import Employees that are already created in the BambooHR account. To filter the Users that are imported, view the User Filter tab.
Sync Courses and Course Categories created in Tovuti back to the BambooHR account.
Settings tab
In the Settings tab, toggle Yes or No to the following settings:
- Enable Single Sign-On - Users can log in to Tovuti automatically from BambooHR
- Send Welcome Emails - Users receive an email with their login credentials
- Enable Auto User Deprovisioning - Users are automatically disabled in Tovuti when they are set to Inactive Status in BambooHR
- Auto Sync Certifications - Certificates earned in Tovuti are automatically added to the employee in BambooHR and Certificates added to employees in BambooHR are added to the user in Tovuti
- Set All Courses to be Required - All Courses are set to be required for all employees in BambooHR
- Auto Sync Course Completion - Course completion is automatically synced into BambooHR
- Auto Sync Courses - courses and course categories will automatically be added to BambooHR when created in Tovuti
Auto Sync Certificates
Enabling Auto Sync Certifications creates new certificates in each platform to ensure that all certificates are available in both. Certificate syncing is done based on the NAME of the certificate.
Admins must select a default Certificate Template, which is used when a new Certificate is created in Tovuti.
User Filter
In the User Filter tab, enable and set conditions for which Users will be imported from BambooHR to Tovuti. Set the toggle to No for Enable User Filter to bypass the filter and import all BambooHR users.
If User Filters are utilized, it is recommended to configure the conditions in this tab before completing the Import Employees step in the Setup tab.
For the Conditions Must All Be Met toggle, set Yes to require that all the listed conditions be met for the User to be imported. Toggle No to set that only one of the conditions must be met for the User to be imported.
Click the green “+” icon (1) to add a condition. Select an option in the BambooHR Field column (2). Options only populate this column if the Connect to BambooHR step has been completed in the Setup tab.
Select a Condition (3) and a Field Value (4). Field Values are also populated from the connected BambooHR account.
In the image above, because Conditions Must All Be Met is set to No, only Users that are either Accountants or Training Managers will be imported to Tovuti.
User Group Mapping
In the User Group Mapping tab, set up how imported Users will be organized into User Groups. Select if any User Groups should be excluded from the selector.
Click the green “+” icon (1) to add a User Group map. Select a Bamboo HR Field (2) and the Field Value (3). Select the Tovuti User Group (4) to which the User is added.
In the image above, any BambooHR user with the Job Title of Social Media Marketer will automatically be added to the Marketing Department User Group.
Custom Field Mapping
In the Custom Field Mapping tab, define how the fields in a User’s BambooHR account will import to their Tovuti profile.
Toggle Yes to Enable Field Mapping to import profile fields from BambooHR. If set to No, only first name and last name will be included for imported Users.
Toggle Yes to Define Field Mapping to customize profile field mapping. If set to No, all available fields from Bamboo HR are imported. These fields include all that are listed under the toggle.
Click the green “+” icon (1) to add a custom Profile Field map. Select a BambooHR Field (2) and select the Tovuti Profile Field that is connected (3).
For information on creating Custom Tovuti Profile Fields (that can potentially be connected to a BambooHR field) view the Help Center article here.
Click Save.
Once connected, the BambooHR integration shows as disconnected from the Setup tab.
