Adding email options on the site can be set up two different ways. First one is using the standard email setup which uses our email server to send and the other is setting it up to use your companies email server which is set up using custom Simple Mail Transfer Protocol (SMTP) settings.
Standard Email setup using Tovuti's email server
Go to Configuration > Click Email > Click Email Settings 1 (default config) or click New
Change the name of this email to make more sense for the company (This will be used to tie it to the site). Site Name can be changed to your own company name. Mail From Name and Reply To Name can be filled out adjust the email to be more personalized.
Here is what it will look like for users receiving the email. Matching the names provided above when using the default Tovuti email server.
When editing Sites, this email option is now selectable. Selecting this option will automatically apply the email settings saved by following the steps above.
To do this step go to Design > Sites > Select the site or create new > Configuration tab > Email Settings > in drop down select the email name.
Click Save or Save & Close.
Email sent when using standard settings are sent from the noreply@tovutiteam.com in the set up. For organizations using GSuite (Google workspace with connected gmail accounts), this may cause a notice (such as the one below) to be attached to LMS emails.
This is because GSuite recognizes the Mail From Name or Reply to Name, but not the noreply@tovutiteam.com email address and reminds the recipient to double-check. The “Looks safe” button can be clicked, silencing this message for Tovuti LMS emails.
However, to avoid these messages altogether, it is recommended to avoid using the organization or Admin names in the From Name and Reply Name. Use broader terms such as “Internal Training.”
Setting up Custom SMTP using your email server
In the context of using this on the site, custom SMTP settings allow the platform to send automated emails-such as user invitations, password resets, notifications, and other system-generated messages-through your own designated email server.
Properly configuring SMTP ensures that emails sent from the site are delivered reliably and appear to come from your organization's domain, helping maintain brand consistency.
To add custom SMTP settings and use the organizations email server to send the emails toggle the Use Custom SMTP to Yes. Fill out all the other information that appears (may need to consult with local IT for this input). Note there is a field above that setting Reply To that can also be filled out.
