The Completion Tracking dashboards show how far your people are through the content you assigned, grouped into collections you choose, and let you share a view with a link.
What it does
With this module on, Learning > Completion Tracking appears in your admin menu, marked with a New badge. Sites that had the older Enrollments report will recognize it: it is the same report under a new name, now opening straight on the dashboard.
Collections
You group related standard assignments and Dynamic Assignments into collections, for example "Safety training" or "New hire onboarding", and the dashboard reports on each collection together. A site with no collections yet sees the message "Your dashboard starts with a collection" and a Create a collection card instead of a page of zeros. Once you have collections, the same card stays at the end of the collection row.
Select Configure Collections in the action bar to manage them. The dialog has three tabs: Structure, Display settings and Due date warning.
Both standard assignments and Dynamic Assignments can go into a collection. You can add them in the Configure Collections dialog, and when you build a Dynamic Assignment you can choose its collections under Show in Completion tracking analytics on its last step.
The dashboard
- Progress at a glance. See how many people are Complete, In progress and Not started, as a percent or a count, with a trend over time. Warnings and Overdue counts are shown too; select one to filter the learner list.
- Two lists. One tab lists the standard assignments and Dynamic Assignments in the collection, and the Learners tab lists people. A search box above them filters by the title of a standard assignment or Dynamic Assignment, or by learner name once you type three characters.
- Drill down. Open a standard assignment, a Dynamic Assignment or a learner to see the detail, then use the exit link (such as Exit learner view) to come back. If you have the Hierarchy builder, you can also drill down through your organization's units.
- Refresh. Totals are rebuilt about hourly. The page shows how fresh the data is, and Refresh now rebuilds it on demand. If you open a dashboard whose data is more than two hours old, it refreshes itself.
Share a view
Once you have a collection, Share creates a link to what you are looking at. Choose Share data, then Copy link. The link opens a read-only view without signing in, shows learner progress, completion status and learner information, and expires on the date the dialog shows. People on a shared link do not see Configure Collections.
Why admins switch it on
- One screen to see who has finished, who has started and who is late across a whole program rather than one standard assignment or Dynamic Assignment at a time.
- Collections let you report the way your organization thinks: by program, by audience or by deadline.
- Share links let managers, customers or auditors see progress without an administrator account.
- With the Hierarchy builder, completion rolls up through your org chart.
Before you switch it on
- If you turn it off later, shared links stop working. Anyone with a link you shared sees an error instead of the report, and the Completion Tracking menu item goes away.
- It does not need Dynamic Assignments. The dashboard and Dynamic Assignments each work without the other. If Dynamic Assignments are on and Completion Tracking is off, the report screen sends administrators to the Dynamic Assignments list.
- Who sees it: administrators and sub-administrators. Sub-administrator permissions set for the old Enrollments menu item still apply.
- Old bookmarks to the former Collections page redirect to the dashboard.
- The unit navigator needs the Hierarchy builder. A site with no units yet sees an Add a hierarchy unit card, which opens People > Hierarchy in a new tab, but only when the Hierarchy builder is on.
How to get this
This feature is included in your plan. Ask us to switch it on and we'll enable it for your site, usually within 1 business days. Tell us if you'd like it on a test site first.
- Dynamic Assignments — create the Dynamic Assignments that these dashboards report on.
- Hierarchy builder — build the org chart and drill down through its branches.
- Reporting workbench — build your own reports, including over Dynamic Assignments.
